Drill Down Wizard

In this section, you can learn about what the Drill Down Wizard is, why you should use it, what its properties are, and how to create or view a drill down.

The Drill Down feature allows you to obtain detailed information about a Nectari formula or a measure in a data extraction. It takes all filters used for a NECFORMULA or Data Extraction and creates a table with the fields that you have selected. When there are multiple formulas in a field, you can choose which formula to drill down in.

The Drill Down Wizard is located under the Analysis tab of a workbook.

How does the Drill Down Wizard differ from the Drill Down button?

  • The Drill Down Wizard opens the Formula Drill Down Window, which allows you to create new drill downs and edit your drill down profiles.

  • The Drill Down button opens the Formula Drill Down side panel, which allows you to choose a profile to apply to a field. If there are no drill downs associated with the field, you will not be able to choose a profile to drill down with.

Why use the Drill Down Wizard?

What use cases can the Drill Down Wizard answer?

  • Drill down profiles are used within drill downs to select the level of detail you wish to see. You can select a different profile for each formula and create multiple profiles for the same data model. Drill-down profiles are included in the import/export template.

  • For example, you might create a profile to break down the results of a formula, identifying the document numbers along with their ledger posting. You could then create another profile to view the breakdown of the ledger posting for each department.

Create a Drill Down

  1. Select a cell containing a formula (NECFORMULA) or a measure in a Data Extraction in your workbook.
  2. From the Analysis tab, select Drill Down Wizard.
  3. Select the Profile you want to use to show detailed information about the formula. If there are no profiles created for the data model, you can create one:

    1. From the Profile drop-down, select New Profile.
    2. Enter a name or description for the profile and click Save.
  4. Drag and drop the appropriate fields (dimensions, descriptions, and/or measures).
  5. Click Update to only update the profile or click Update and Drill-down to both update the profile and display the formula drill-down. The drill-down table is displayed on the right-hand side.

View a Drill Down

From the Analysis tab, click Drill Down. The Formula Drill Down table is displayed on the right-hand side.

When you click on another cell containing a formula, the drill down table is automatically updated based on the profile. The following functions are available from the Formula Drill Down table:

  • Switch profiles using the Profile drop-down list.
  • Copy the drill down table in a new sheet by clicking .
  • Toggle filters by clicking .
Note

If you've added hyperlinks to your data model, you can view them within the Drill Down from the Analysis menu. The hyperlinks are active URLs that will open a new browser window when clicked. You can continue to use the hyperlink even when you choose to copy the drill down table in a new sheet.

Create a Drill Down with Multiple Formulas in a Cell

  1. Select a cell containing multiple formulas (NECFORMULA) in your workbook.

  2. From the Analysis tab, select Drill Down Wizard.

  3. In the Formula Drill Down window, the panel on the left displays all the formulas in the cell. Select the formula you want to drill down in.

  1. Set the appropriate Profile and fields to customize the drill down.

  2. Select Update and Drill Down. The drill down profile of the selected formula appears in a window to the right.

View a Drill Down with Multiple Formulas in a Cell

Select a cell with multiple formulas. From there, you can:

  • Click the Analysis tab and select Drill Down. The drill-down table of the first formula in the cell is displayed on the right-hand side.

  • Change the formula by clicking the Formula drop-down and selecting another formula. The Formula Drill Down window will update with the new formula's drill down details.

Drill Down Wizard Properties

The Drill Down Wizard consists of one menu, called the Formula Drill Down window. Within this menu, there are also the Profile properties, which are listed below.

Formula Drill Down Properties

EnvironmentThe current environment where the data is being used. You cannot change this field for a drill down.
Data ModelThe current data model where the data is being used. You cannot change this field for a drill down.
ProfileSelect the Profile to be used to show the detailed information about the formula. When you hover over the right-hand side of the profile drop-down, the following options are available:
  • Set as Default Profile: When you open the Drill Down Wizard, that profile will be selected. If there is no default profile selected, the Drill Down feature will use the first profile available for the data model and open the side panel with the details for the formula.
  • Rename: Rename the profile.
  • Delete: Delete the profile.
Show Total RowShow or hide the Total Row of the drill down (toggle to enable/disable). Choose which dimensions, descriptions, and measures to group the data by.
Group By Choose which dimensions, descriptions, and measures to group the data by.
Order BySort data in ascending order, descending order, or no order.
AggregationChoose which operation (Min, Max, Count, Count Distinct, or None) to perform on the field. Note that any further operations performed on data in the data extraction will be based off the aggregation defined in the Data Extraction Wizard, not the raw data.
Reset Group ByReset all Group By, Order By, and Aggregation options you have set for your fields. This creates a flat list where nothing is grouped together.
DeleteRemove the dimension, measure or description from the drill-down.
CancelClose the Drill Down Wizard window (formulas are not saved automatically).
Update and Drill DownUpdate the profile and display the formula drill down.
UpdateUpdate the profile (the formula drill down will not be displayed).

Profile Properties

Once you have created a profile for a drill down, you may want to go back and edit or manage the profile.

To access the Profile properties, select a cell containing a formula (NECFORMULA) in your workbook. From the Analysis menu, click Drill Down Wizard. Hover your mouse on the right side of the profile drop-down.
